At the Hamilton Convention Centre exhibitors are supported with practical amenities, expert partners, and streamlined services that make showcasing your work effortless. Whether you’re preparing for a large-scale tradeshow or a boutique exhibit, our team is here to help you plan, set up, and deliver your best experience.

Exhibitor Services at a Glance

Equipment Rental

From essential equipment to specialty tools, HCC provides a range of rentals to support your booth setup.

Available rentals include:
• Scissor lifts (operator license required)
• Tables and furnishings
• Lounge and soft seating
• Miscellaneous event equipment

Your Event Services Associate will provide a complete list of available items and pricing.
Exhibitors may also arrange for our trained team to assist with banner hanging (additional fees apply).

Booth Cleaning

HCC is the exclusive provider of cleaning services for all events within the facility.

Included:
• Midday and overnight refresh for general areas

Available for Exhibitors (additional cost):
• Vacuuming
• Dusting
• Waste removal
• Table cleaning

To schedule booth-specific cleaning, contact your Event Services Associate.

Food & Beverage

Enhance your booth experience with offerings from our award-winning culinary team.

Please note:
• All food & beverage is exclusively provided by HCC.
• No outside food or beverages may be brought into the building.

Explore menu options or request vendor-specific service through your conference organizer, who will connect you with our culinary team.

IT & Technology

Complimentary basic Wi-Fi is available throughout the building for light browsing and email.

If your booth requires stronger bandwidth, dedicated networks, or additional IT support, reach out to your Event Services Associate to make arrangements.

Electrical Services

Soundbox Productions is the exclusive provider of all temporary electrical distribution at HCC.

They provide:
• Booth power (booths do not include electricity by default)
• Electrical distribution for events, shows, and guest service providers
• All wall power in ballrooms and event spaces

Important Safety Standards:
• All equipment must be UL-approved
• Three-wire grounded extension cords only
• Multi-outlet adapters must include overload protection
• Cooking/warming devices must be electric and approved
• Demonstration areas require proper shielding or spacing
• A 2A10BC fire extinguisher must be present when cooking equipment is in use

Last-minute electrical requests may incur surcharges.

Loading Dock

All large items, carts, and equipment must enter through the loading dock. A dock supervisor will be onsite to help direct traffic.

Key Information:
• Follow the Event Services Associate’s load-in schedule
• No vehicles may remain in the dock area overnight
• Front entrance is permitted for hand-carried items only
• Freight elevator access is available for upper-level shows
• Oversized trucks/trailers can arrange offsite parking via parking@hamilton.ca (one-week notice recommended)

A full map and step-by-step directions can be provided upon request.

Shipping

Items may be shipped directly to the Convention Centre within 2 business days of the event.

Required on all labels:
• Event name and date
• Exhibiting company name
• Room/location information (if available)

Items shipped too early may incur storage fees.

Storage

Limited short-term storage is available on the loading dock and tradeshow floor.

Exhibitors are responsible for securing their own materials throughout the event. Speak with your Event Services Associate to discuss available options.

Lost or Left-Behind Items

While our team makes every effort to reunite exhibitors with misplaced items, exhibition materials cannot be stored long-term. Materials left behind after move-out may be discarded.

Parking

Parking is available in the underground garage (managed by an external provider).

• No overnight parking is permitted
